Condition of the apartment when moving
When you move into the apartment, you must report any defects or deficiencies during your first month of residence by completing the apartment card, which will be sent to you by email.
When you move out, you will carry out the final inspection yourself using the digital Emma tool. Please note that it is your responsibility to empty and thoroughly clean the apartment before moving out. The electronic final inspection serves as your legal protection and will be reviewed by Soihtu. If necessary, property maintenance will also inspect the condition of your apartment.
Every Soihtu’s tenant gets a link for filling in an apartment card when s/he moves in. The link is sent automatically on the 5th, the 10th and the 15th of every month. If your tenancy agreement begins on the first day of the month, you will receive the link on the 5th day of that month. Please remember to fill in the apartment card during your first month of tenancy.
You have to check the condition of your apartment and fill in the apartment card when moving in. Like this, the faults in the apartment at the moment of moving don’t become your responsibility. Please note that the cleaning of the apartment has been the responsibility of the previous tenant. In general, when moving into an apartment, it is good to be prepared to do a small-scale cleaning before bringing furniture in the apartment.
Because of your legal protection, it is good to fill in the card carefully and as soon as possible. You will get a link for filling in the apartment card by email. You can fill in the apartment card once only and the form is locked automatically after that. Write down all deficiencies and faults you find to the apartment card eve though they don’t require immediate repair work. Please note that the faults listed on the apartment card aren’t maintenance request for the facility services. If you find faults that should be fixed, make in a maintenance request that you can find at the bottom of the apartment card.
Before moving out, you document the condition of the apartment with photos and videos and ensure that the cleaning and handover meet Soihtu’s guidelines.
- You will receive the Emma link by email and text message during the month your lease ends
- Emma includes ready-made inspection and move-out cleaning checklists
- You can complete the inspection at your own pace – it doesn’t have to be done all at once
- Taking plenty of photos helps with the review process and serves as your legal protection
- Soihtu reviews the report and sends you a confirmation by email
- If you do not complete the Emma inspection, the apartment will be inspected normally after you return the keys

Apartment inspection by Soihtu:
- Property maintenance begins inspections on the first working day of the month at 9:00 a.m. in apartments where the Emma inspection has not been completed.
- If you are still moving out or cleaning on the morning of your move-out day, leave a note in the apartment indicating that the move is still in progress. This way, the maintenance staff will know the situation. A new inspection will be carried out by 12:00 noon.
- During the inspection, the cleanliness of the apartment is assessed and surfaces (ceiling, floors and walls) are checked. Water fixtures, cabinets, and household appliances are also inspected. Soihtu takes into account the age of the building and normal wear and tear. For example, floor materials in older apartments may show more marks from furniture than in newer ones.
- Defects or issues requiring repair may be identified during the inspection. Any faults (e.g. burned-out bulbs) will be fixed by maintenance at a later time, as will any missing equipment (e.g. a baking tray for the oven).
- The outgoing resident will receive an email once the inspection has been completed.
- If an unfinished move or cleaning prevents the inspection from being carried out by 12:00 noon on the first working day of the month, an additional inspection will be arranged later. This extra inspection will be charged to the outgoing resident according to the service price list.
- In Student Village buildings K–P, a preliminary inspection is also carried out a couple of weeks before the lease ends. Preliminary inspections are also conducted in other apartments if the tenancy has lasted at least five years. Residents will be informed of the inspection in advance. The purpose of these inspections is to assess the condition of apartments and identify any needed repairs before the next resident moves in.
- If possible, residents may attend the inspection if they wish or if needed. To arrange this, please book an appointment for the 1st day of the month well in advance with the property manager. You can find the property manager’s email address on our Contact Information page.
If the move-out cleaning is insufficient, we will charge the tenant who has moved out for the cleaning. Due to the number of apartment inspections, it isn’t possible that the out-moving tenant would be contacted if some defects were noticed in the apartment inspection, but the person doing the inspection orders a cleaning when the inspection is done. Cleaners of Soihtu Facility Services finish the cleaning if it was insufficient. The tenant will get a message that mentions about the need for additional cleaning. The aim is to handle the additional cleaning before the next tenant moves in. The most common things that are found to need further cleaning are a dirty oven, fridge and bathroom. The minimum charge for the further cleaning is for one hour of work.
An example: Floor of the hallway is found littered in the apartment inspection. A cleaner goes to sweep the floor there. The work takes 10 minutes. The tenant is charged for an hour of work.
In case abnormal abrasion, neglect of the condition of the apartment or cleaning is found, or furniture, things and/or rubbish have been left in the apartment, the tenant will be charged for repairs, cleaning and transporting the furniture.
